The Electoral Commission, an independent UK governmental regulatory body, faced a unique communication challenge when it moved Regional Office Staff out of its offices into home working operations. With this decision, the organisation needed to ensure its workforce could continue to collaborate in real time despite the cultural change.
It approached avsnet to improve its existing video conferencing environment and to install an integrated video conferencing solution for remote workers. To address The Electoral Commission’s challenges, avsnet focused on implementing a remote video solution that could be centrally managed while simultaneously guaranteeing staff adoption and user friendliness.
Esrar Ahmed, IT Helpdesk Manager, said, “avsnet has been fantastic. With our shift to remote working, we needed to maintain face-to-face communication. We didn’t have anything in place before and avsnet’s solution has worked perfectly for every user.”
To support the central office-based team, external staff can quickly video conference in to easily communicate with as many colleagues as desired. avsnet worked closely with The Electoral Commission to reduce the level of technical support needed so all users, regardless of individual technical ability, would feel comfortable using the system.
IT projects often promise ROI but fail to deliver. This project has already proven its value.
This consultative approach has proved extremely successful; adoption has been high; video is often chosen over standard calling; and the overall return on investment has been immediately realised.
Ahmed continued, “Before avsnet, we weren’t sure what we needed. The company worked with us to make sure we were getting the right solution and one that would actually be used. The whole process has been brilliant. We did initial user testing, chose to move forward immediately and haven’t looked back since the implementation.”
The Electoral Commission has already witnessed a wide range of results. Its IT support team have seen a large reduction in troubleshooting calls, therefore saving time and financial resources. Users themselves have praised the solution’s simplicity, the ability to share information in real time and the fact there has been no visible impact on project management since the change.
Ahmed concluded, “In terms of ROI, we’ve been amazed with how quickly avsnet installed what we needed and the popularity of the system. With the company’s help we created a user-guide which has provided our staff step-by-step instructions on how to use the system. ”
The scalability of the unified communications system is also a benefit. Due to the flexibility of avsnet’s solution, should The Electoral Commission choose to expand its current workforce of 120, it can install additional video conferencing end points with minimal investment or outlay. This allows for better financial planning and assists in the creation of a clear communications roadmap.
